Managing Conditional Content in Emails

Managing conditional content in emails allows you to customize the body or subject line of an email based on specific responses collected within a form. This feature is especially useful for forms that need to include or adjust information depending on certain conditions — for example, request forms where different answers lead to different follow-up actions or outcomes.

You can create conditions using responses from any participant in the form; however, they will only trigger once the participant linked to that email has completed their section. This ensures that each recipient receives only the content relevant to their situation, based on the information collected within the form.

It’s important to note that this option cannot be used to prevent an email from being sent. For instance, if “Customize Owner Notification Email” is enabled, that email will still send automatically, since the feature sends it by default.

Conditions are configured within the email itself, not through the form’s rule settings. Within the email body, any text placed outside of the condition curly brackets is sent to all participants, while text placed inside those curly brackets is only sent if the specified condition is met. You can also apply conditions to the email subject line.

Email types that support conditions:

  • Confirmation Emails – If enabled, sends to the participant after they submit their section of the form.

    Example: If the user selects “Transcript Request” vs. “Enrollment Verification,” the confirmation email can include different instructions.

  • Co-signer emails - Sent to the co-signer (someone other than the form owner) after the previous participant submits their section, notifying them to complete their section.

    Example: If the request relates to an international student and a non-international, the co-signer can receive different instructions in the email relevant to the student’s status.

  • Owner notification emails – If enabled, sends to the form owner once a participant completes their section of the form. 

    Example: The owner could receive one message if the form is approved and a different one if denied.
